Ever been to an event where audio feedback is the only thing that you remember about the CEO's message? Perhaps the table decorations blocked your view of the video screen or the turn out didn't come close to the number of people expected. There are hundreds of things that can go wrong at a event and unfortunately often do. But, with a little planning and proper delegation, you can look like a genius to your boss.
It may sound simple, but don't over look the power of collaboration. Getting two or three people from your company together to brainstorm your event will often result in greater creativity and a clear focus.
Power Secret #1: Build Your Team
If you have an event planning team, consider delegating responsibilities such as guest list, invitations, and communications. Designing and running an event means getting control of scores of details. If you have a team you can effectively divide and conquer.
The single biggest decision in event planning is calling on expert advice. Whether it's seeing a doctor about your health or a mechanic for repairs to your car, you already go to the experts when you need help. When it comes to throwing an event, take advantage of the event expert at your disposal. I can't tell you how many times a brand new client comes to me in the eleventh hour with an event she needs to pull off at the last minute. Despite the lack of lead time, the event looks and sounds great, but sometimes fails to achieve it's goal. On the other hand, seasoned clients tend to involve me in the planning process early on, relying on my expertise and the experience AVH brings to the event, with very different results.
Relying on an expert takes the guess work out of the event. Everything from the floor plan to who attends is impacted by involving your expert early on. A few years ago a client held an event that his planning committee worked out to the last detail, but brought me in at the last minute. The event was both well attended, and looked and sounded great. As a fund raiser it was a disappointment, however, as they targeted the wrong people with their event promotions. The donors sympathetic to their cause were nowhere to be seen. They were delighted to find that I was willing to be involved several months in advance for next year's event.
